Withdrawing from your course

To withdraw from your course you need to apply using the Request to Withdraw form. We count the date we receive your application as the date of withdrawal. 

Withdraw criteria

Withdrawal before the course start

If we receive your application to withdraw before the official start date of your enrolment period you will be eligible for a refund of fees, less any non-refundable fees, including international handling charge and fees collected on behalf of other organisations.

If your enrolment has been transferred under Special Consideration you can withdraw from the course offering you have been transferred to, however no refund will apply. Your academic transcript will display ‘Did not Complete’ (DNC).

Withdrawal within 28 days of the course start

If we receive your application to withdraw within 28 days of the official start date of the enrolment:

  • a 5% withdrawal fee may apply
  • your refund will not include any non-refundable fees, including international handling charge, and fees collected on behalf of other organisations. 

If you withdraw within 28 days there will be no record of enrolment on your academic transcript. 

If your enrolment has been transferred under Special Consideration you can withdraw, however no refund will apply. Your academic transcript will display ‘Withdrawn'.

Withdrawal after 28 days and within 75% of enrolment period

If you apply to withdraw after 28 days and up to 75% of your enrolment period, no refund will apply. Your academic transcript will display ‘Withdrawn’.

After 75% of the course duration

You cannot withdraw after 75% of the course duration. Your academic transcript will display courses you do not complete as  'Did Not Complete’ (DNC).

Late fee payments

If your fees have not been received by 28 days from the start date of your enrolment period, and we have not received a withdrawal application from you, a late enrolment fee of 5% of your enrolment fee may be charged.

 

Withdrawing under exceptional circumstances

In exceptional circumstances the Academic Registrar may approve a full or proportional refund that takes into account the specific circumstances. The Special Consideration process must be followed and supporting documentation will be required.

Non-engaged withdrawal

If you do not engage with the course material during the first 28 days of your enrolment, you may be withdrawn from your course.
If you are withdrawn within 28 days:

  • there will be no record of enrolment on your academic transcript.
  • Fees will be refunded
  • a 5% withdrawal fee may apply
  • your refund will not include any non-refundable fees, including international handling charge, and fees collected on behalf of other organisations.

Did not complete

If you fail to submit a compulsory assessment or are absent from an examination and do not formally withdraw from the course your academic transcript will display your result as ’Did Not Complete’ (DNC). This may have implications for future enrolment applications, StudyLink, and other funding entitlements.

Fees liability

Withdrawing within the refund period

If we receive your application to withdraw within the refund period and you have not paid your fees, your account will be debited with the refund amount less all non-refundable fees. 

You will be liable for the fees balance and subject to debt collection processes should outstanding fees remain unpaid.

Withdrawing after the refund period

If you have not paid your fees and apply to withdraw after the refund period, the fees must still be paid. Debt collection processes will be followed.

If you do not apply to withdraw and do not submit any work you are liable to pay the fees.

Withdrawing if you intended to pay by student loan

If you were going to pay your fees by student loan and you cancelled your loan, and do not make other fees payment arrangements, or your loan is declined, you must also apply to withdraw from Open Polytechnic as you will remain liable for any applicable fees.
